AI and Data
T1 SiteOps · Version 1.0 · Effective 24 October 2026 · Last updated 14 October 2026This page explains what the AI features in T1 SiteOps do, what information they use, and how that information is protected. It forms part of our Terms of Service and Privacy Policy. T1 SiteOps is provided by T1 Site Operations Pty Ltd (ACN 703 175 660, ABN 70 703 175 660).
1. What the AI does
The T1 assistant can:
- answer questions about your jobs from your own records, for example "What's overdue on the Smith Street job?"
- summarise information, such as briefings, meeting notes and open items
- prepare drafts for you to review, such as tasks, diary entries, tender and estimate summaries, and document details
The AI only ever prepares drafts. Nothing it prepares is saved, applied, sent or paid until a person reviews it and confirms it. Anything with a financial effect goes to a review queue for a person to approve. The AI doesn't approve, sign, send or pay anything on its own.
AI can be wrong. It can misread a document, leave out facts or get numbers wrong. Check AI answers and drafts against your source documents before you rely on them. That matters most for safety, contract and payment decisions. AI output isn't legal, engineering, financial or safety advice.
2. What information is used
An AI request only uses information the person asking is allowed to see:
- it only searches their own company's records, never another customer's
- it only searches the jobs and records their role and project access allow. For example, financial information is left out for people who can't see financials
- it only runs when someone asks, or when the company has switched on a specific AI feature
For each request, T1 sends OpenAI, our AI provider, the information needed to answer it. That can include the question, the page and job it relates to, relevant records, and text from selected documents. OpenAI processes the request and returns the answer to T1.
We design T1 so that passwords, sign-in tokens, integration secrets and full bank account numbers are never sent to the AI. The AI doesn't filter out other information a user chooses to include, so don't paste in personal or sensitive information you're not allowed to share.
3. Your data isn't used for training
- We don't use your records to train AI models, ours or anyone else's.
- We set our AI provider's options so that requests aren't stored for training. The provider may keep requests for a limited time to monitor abuse, under its own terms.
- We don't sell your data or share it with other customers.
4. Where AI conversations are kept and for how long
AI conversations and drafts are stored in T1 with the rest of your company's data, on Cloudflare's cloud platform, in Cloudflare's Oceania region.
- Conversations are kept for 90 days by default. A company admin can set this to anywhere from 7 to 365 days.
- Expired conversations are deleted automatically.
- Each person can delete their own conversations at any time.
- If your company's account is deleted, AI conversations are deleted with the rest of your data.
Processing may occur elsewhere: Cloudflare handles requests at the nearest Cloudflare location, and our AI provider may process information outside Australia. Our Privacy Policy explains how we handle overseas disclosure.
5. Your controls
- Company switch. Owners and admins can turn AI off for the whole company at any time.
- Access rules. AI follows the same roles and project access as the rest of T1. Client and subcontractor portal users can't use the T1 assistant.
- Monthly allowance. Each plan includes a monthly AI allowance. When it's used up, AI pauses until your next billing month. There's never an extra charge, and the rest of T1 keeps working normally.
6. Questions and requests
To ask about AI and your data, or to request access to, correction of or deletion of your information, email admin@t1siteops.com, or use Privacy and data in the app.
